Wedding Content Creation Terms & Conditions

These Terms & Conditions (“Terms”) apply to all bookings made with The Content Cove UK (“we”, “us”, “our”). By paying a booking fee or signing a booking agreement, you (“the Client”) agree to these Terms.
 
1. Services
 
We provide wedding content creation services, including capturing behind-the-scenes photos and videos using a smartphone or similar device, creating short-form content, and delivering edited and/or unedited digital files, depending on the package booked.
 
We are not photographers or videographers unless specifically agreed in writing. Our services are intended to complement, not replace, professional photography or videography.
 
2. Booking & Payment
 
  • A non-refundable booking fee is required to secure your wedding date.
  • The remaining balance is due 30 days before the wedding.
  • If full payment is not received by the due date, we reserve the right to cancel the booking.
  • Prices are quoted in GBP (£).
 
3. Client Responsibilities
 
The Client agrees to:
 
  • Provide accurate event details, including venue, timings, and contact information.
  • Inform us of any venue restrictions.
  • Obtain any permissions required from the venue for content creation.
  • Inform guests if appropriate that content creation will be taking place.
 
4. Our Responsibilities
 
We will:
 
  • Attend the event at the agreed times.
  • Use reasonable skill and care in providing the agreed services.
  • Capture content in our own creative style.
  • Deliver content within the agreed delivery timeframe.
 
We cannot guarantee the capture of every person, moment, or requested shot.
 
5. Delivery
 
Unless otherwise agreed:
 
  • Raw content will be delivered within 24–48 hours.
  • Edited content will be delivered within 24-48 hours.
  • Delivery is via an online gallery or file-sharing service.
 
Delivery times may be extended due to illness, unforeseen circumstances, or peak wedding season. We will keep you informed of any delays.
 
6. Creative Style
 
The Client acknowledges that editing style, filming approach, music selection (where applicable), and overall creative decisions are at our discretion.
 
7. Professional Photographer & Videographer
 
We work alongside professional photographers and videographers and will make reasonable efforts not to interfere with their work.
 
Where necessary, their direction will take priority during key moments.
 
8. Client Requests
 
We will make reasonable efforts to accommodate requested content but cannot guarantee specific shots due to time constraints, venue restrictions, weather, guest cooperation, or other circumstances beyond our control.
 
9. Cancellation & Rescheduling
 
Cancellation by the Client
 
  • The booking fee is non-refundable.
  • If cancellation occurs within 30 days of the wedding, the full balance may remain payable.
  • Earlier cancellations may be subject to charges reflecting work already completed.
 
Rescheduling
 
If your wedding date changes, we will make reasonable efforts to accommodate the new date. If unavailable, the booking fee remains non-refundable.
 
10. Cancellation by Us
 
If we are unable to attend due to serious illness, emergency, or circumstances beyond our control, we will:
 
  • Attempt to arrange a suitable replacement where possible; or
  • Refund any payments received (excluding work already completed where applicable).
 
Our liability is limited to the amount paid by the Client.
 
11. Force Majeure
 
We are not liable for failure to perform our obligations due to events outside our reasonable control, including but not limited to severe weather, natural disasters, government restrictions, transport disruption, illness, venue closure, or other unforeseen events.
 
12. Equipment Failure
 
While we take reasonable care to maintain our equipment, we cannot be held responsible for circumstances beyond our control such as equipment malfunction, software failure, corrupted files, or loss caused by circumstances outside our reasonable control. Our liability is limited to the total amount paid by the Client.
 
13. Social Media & Portfolio
 
Unless the Client notifies us in writing before the wedding, the Client grants permission for us to use photographs, videos, and edited content from the wedding for:
 
  • Our website
  • Social media
  • Marketing materials
  • Portfolio
  • Competitions or awards
 
If the Client wishes to keep their wedding private, they must notify us in writing before the event.
 
14. Copyright
 
All copyright in the content created remains the property of The Content Cove UK.
 
The Client receives a personal, non-exclusive licence to use the delivered content for personal use, including sharing on personal social media.
 
The Client may not sell, commercially exploit, or alter the content for commercial purposes without written permission.
 
15. Third-Party Music
 
Where music is included in edited content, it may only be licensed for social media use. We are not responsible if social media platforms mute or remove content due to copyright claims.
 
16. Data Protection
 
We process personal data in accordance with UK data protection law and our Privacy Policy.
 
Client contact details and wedding information will only be used for providing our services and fulfilling our contractual obligations.
 
17. Limitation of Liability
 
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot legally be excluded.
 
Subject to the above, our total liability shall not exceed the total fees paid by the Client.
 
We are not liable for indirect or consequential losses, including emotional distress, disappointment, loss of enjoyment, or loss of opportunity.
 
18. Complaints
 
Any concerns regarding our services should be raised in writing within 14 days of receiving the final content. We will make reasonable efforts to resolve complaints promptly.
 
19. Governing Law
 
These Terms are governed by the laws of England and Wales.
 
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
 
20. Travel & Accommodation
 
Travel within 10 miles of BexleyGreater London is included in the package price unless otherwise stated.
 
Additional travel may incur mileage charges at £0.50p per mile or the prevailing HMRC mileage rate, along with any parking, toll, congestion, ferry or public transport costs.
 
Where the venue is located more than 1.5 hours from our base, overnight accommodation may be required at the Client’s expense. This will be agreed in advance.
 
21. Overtime
 
Coverage is provided only for the hours stated in the booking confirmation.
 
If the Client requests us to remain beyond the agreed finish time, overtime will be charged at £75 per hour, subject to our availability on the day.
 
Any overtime exceeding 30 minutes will be charged in full-hour increments unless otherwise agreed.
 
22. Refreshments
 
For bookings exceeding 5 hours, the Client agrees to provide a hot meal and reasonable access to drinking water during an appropriate break.
 
Our meal break will be taken at a suitable point that does not interfere with key moments of the day.
 
23. Weather
 
We are happy to capture content outdoors where weather conditions permit.
 
However, we are not responsible if adverse weather prevents outdoor filming or affects the quality or quantity of content captured.
 
The Client accepts that weather conditions are beyond our control.
 
24. Guest Behaviour
 
We reserve the right to cease providing services where any person behaves in a threatening, abusive, discriminatory or unsafe manner towards us.
 
If services are ended for this reason, no refund will be due.
 
25. Health & Safety
 
We will not place ourselves, guests or equipment at risk in order to capture content.
 
We reserve the right to refuse any request that we believe is unsafe, illegal or likely to damage equipment or property.
 
26. Filming Children
 
The Client confirms that they have parental responsibility for any children featured prominently in requested content or have obtained the appropriate permission where required.
 
Where requested, we will remove content featuring specific children from publicly shared promotional material.
 
27. Vendor Cooperation
 
We will work respectfully alongside all suppliers involved in the wedding.
 
We cannot accept responsibility where another supplier, venue, officiant or guest obstructs our ability to capture particular moments.
 
28. Mobile Device & Technology
 
Wedding content is primarily captured using high-quality smartphones and mobile technology.
 
The Client acknowledges that smartphone content differs from professional DSLR or cinema-grade photography and videography in style, quality and editing approach.
 
29. Editing Revisions
 
One round of reasonable revisions is included for edited highlight videos, provided the request is made within 7 days of delivery.
 
Revision requests relating solely to creative preference may incur an additional charge.
 
Raw footage is supplied without editing and cannot be altered.
 
30. Backup & Storage
 
Delivered content will normally be retained for 30 days after delivery.
 
After this period, we may permanently delete all files without notice.
 
The Client is responsible for downloading and safely backing up all delivered content.
 
31. Supplier Meals & Breaks
 
Where venue catering is unavailable, the Client agrees that we may briefly leave the venue to obtain refreshments if necessary.
 
Reasonable comfort breaks will also be taken throughout the booking where appropriate.
 
32. Social Media Delivery
 
Where content is created specifically for Instagram, TikTok, Facebook or similar platforms, we cannot guarantee platform performance, algorithm reach, views or engagement.
 
We are not responsible for changes made by social media platforms after delivery, including compression, cropping, muted audio or removal of content.
 
33. Intellectual Property
 
The Client may not edit, apply filters to, remove watermarks from, alter or commercially exploit our edited content without our prior written consent.
 
Credit is appreciated but not mandatory unless otherwise agreed.
 
34. Privacy
 
We will always aim to respect the privacy of guests.
 
If a guest requests that they not be featured in publicly shared promotional content, we will make reasonable efforts to honour that request where practicable.
 
35. Insurance
 
We maintain Public Liability Insurance and will provide proof of insurance to venues upon request where required.
 
36. Entire Agreement
 
These Terms, together with the booking confirmation or signed agreement, constitute the entire agreement between the parties and supersede any previous discussions or correspondence.
 
37. Severability
 
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
 
38. Changes to These Terms
 
We reserve the right to update these Terms from time to time.
 
The version in force at the time of booking will apply to that booking unless otherwise agreed in writing.
